We are currently looking for an ambitious self-starter to join our team as the Executive Assistant to our CEO. This is a fantastic opportunity to be at the heart of a dynamic business and work closely as the eyes and ears of our talented CEO. Our ideal Executive Assistant will be able to handle the finer details of managing calendars and travel plans as well as the big-picture, ensuring that the executive team is clearly communicating its vision, strategy, and key objectives to the wider company. This role will also work close with our People & Culture team on HR and office administration tasks.
Key responsibilities:
- Providing professional business & administrative support to the CEO;
- Ensuring smooth communication across the team – helping to arrange the group company’s Sharepoint drive to make key updates are available to all employees and optimizing communication systems and processes across teams.
- Managing and coordinating CEO's calendar including appointments, daily agenda, business conferences, and social events in multiple time zones;
- Answering calls, handling queries, and preparing communications on the CEO’s behalf. Be able to provide feedback and help to tailor presentations to communicate effectively to relevant audiences.
- Preparing expense reports and arranging detailed travel plans, itineraries,agendas, and compiling documents for travel-related meetings.
- Welcoming visitors, arranging executive dinners and other corporate functions as requested.
- Conducting research, drafting plans and/or proposals, and preparing and/or editing presentations on the CEO’s behalf.
- And any other tasks as directed by the CEO.
- Overseeing daily office administration, including but not limited to, maintaining office supplies inventory, sourcing, and work with external vendors.
- Assisting the People & Culture team with miscellaneous HR tasks (i.e. organization of office social events, interview arrangement, etc.)
Requirements:
- Degree holder with at least 3 years of experience working in an executive assistance or other administrative capacity;
- Proficiency in English and Chinese including Mandarin (required);
- Strong ability to prioritize and manage multiple projects simultaneously, strong organizational skills
- Tech-Savy and able to implement and suggest technological solutions to streamline tasks; excellent Microsoft Office skills required;
- Detail-oriented, proactive, and independent with excellent interpersonal skills, able to communicate with stakeholders at all business levels;
- Globally-minded and comfortable working with people from different cultural backgrounds and across multiple time zones;
- Possess a start-up attitude – highly collaborative with an entrepreneurial, roll-up-your sleeves spirit. You aren’t afraid to take on new tasks and work independently when required.
