Executive Assistant to CEO
We are currently looking for an ambitious self-starter to join our team as the Executive Assistant to our CEO, Carrie Law. This is a fantastic opportunity to be at the heart of dynamic business and work closely as the eyes and ears of our talented CEO. Our ideal Executive Assistant will be able to handle the finer details of managing calendars and travel plans as well as the big-picture, ensuring that the executive team is clearly communicating its vision, strategy, and key objectives to the wider company.
Core functions:
- Making sure meetings are more effective by drafting and following up on meeting agendas, actions items and minutes; managing the CEO’s calendar.
- Ensuring smooth communication across the team – helping to arrange the group company’s Sharepoint drive to make key updates available to all employees, and optimizing communication systems and processes across teams.
- Answering calls, handling queries, and preparing communications on the CEO’s behalf.
- Supporting in the scheduling and recruitment of new team members.
- Preparing expense reports and arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Welcoming visitors, arranging executive dinners and other corporate functions as requested.
- Conducting research, drafting plans and/or proposals, and preparing and/or editing presentations on the CEO’s behalf.
- Conscious of the CEO’s team communication, able to provide feedback and help to tailor presentations to communicate effectively to each relevant audience.
- And any other tasks as directed by the CEO.
Core capabilities and requirements:
- Degree holder with 2 or more years of experience working in an executive assistance or other administrative capacity;
- Self-starter with a can-do attitude (ready to take on new projects and see them to completion);
- Tech-Savy and able to implement and suggest technological solutions to streamline tasks; excellent Microsoft Office skills required;
- Process and efficiency oriented;
- Detail-oriented, proactive, and independent with excellent interpersonal skills, able to communicate with stakeholders at all business levels; and
- Excellent written and spoken English and Mandarin (required).
